Circulation Rules

Welcome to the library. During the library's opening hours, please present a valid NSYSU ID to access various materials. For information on borrowing and returning books, or regulations regarding the use of study rooms, discussion rooms, lockers, and other facilities and resources, please refer to the following service instructions.


Circulation Rules

  • The library’s online renewal service is now based on the maximum loan period. If a renewal is made near the end of the maximum loan period, the system will automatically adjust the current loan period to fit the remaining days left.
  • Patrons with overdue materials will be revoked of all library privileges, including renewals, reservations, borrowing of any equipment and so on. .
  • The overdue fine for each book is 5 NT dollars per day, with an accumulated calculation. Readers are encouraged to return materials on time to avoid continuous accumulation of overdue fines. For detailed information, please refer to Returns and Fines.
  • If a patron reserves a book that is currently on loan, the system will automatically shorten the loan period of that book and send a reminder to the current patron. For more detailed information, please refer to the recall instructions.

※ Interlibrary loan services are available to readers from partnering schools based on the collaboration agreements between each institution. For more detailed information, please refer to the "Interlibrary Loan" instructions.


Books Loaning 

  1. Loaning Credentials:
    1. On Campus Readers: Student ID cards, Staffs ID cards or other valid ID cards
    2. Off Campus Readers: ID cards applied and issued from our library
  2. If a reader wishes to authorize someone else to borrow books on their behalf, please fill out the "Proxy Borrower Authorization Application Form", and bring it with their ID card to the library while loaning books. The form should include the proxy borrower's name, borrowing date, and the reader's signature.


Book Return

Readers can personally bring the library materials to the circulation counter on the 3rd floor for return before the due date, or they can drop them into the book return box located next to the Study Hall (Self-Study Room) on the 1st floor.


Renewals

  1. There is no limit to the number of renewals. From 7 days before the due date, if no one makes an appointment for the borrowed library materials, the borrower can log in to the personal library account and handle renewal online by himself; the loan period is the same as the original loan period and starts from the renewal date , but if the maximum loan period is approaching, the due date calculated by the system shall prevail.
  2. If any library material is overdue or the overdue penalty in the account has reached $150, all borrowing rights will be suspended, and procedures such as renewal and reservation cannot be processed.
  3. If any library material has reached the maximum loan period, it will not be able to renew online; if there is still a need for use, please bring the collection to the circulation counter on the 3rd floor to re-borrow.

 

Reservation

  1. General Book Reservation: Readers can log in to the system and make online reservations for books that are currently borrowed by others (status: "On Loan").
  2. Cataloging Book Reservation: If a book is in the process of being cataloged (status: "In Cataloging - Please log in to reserve"), readers can log in to the system and make online reservations.
  3. Number of Reservable Books: Each reader can reserve up to a maximum of 5 books.
  4. Reservation Pickup: Once the reserved book is returned or cataloging is completed, the system will notify the reservation holder via email to pick up the book within 5 days. If the book is not collected within the specified time, it will be transferred to the next reservation holder or returned to the shelf.


Recalls

  1. If a book is requested by another user upon checking out, the system will automatically initiate a recall process and send a "Library Collection Due Date Change Notice."
    1. For readers with an original borrowing period of 30 days (e.g., faculty, staff, and students of the university), if the reserved book is recalled, please return the book within 14 days.
    2. For readers with an original borrowing period of 180 days (e.g., full-time lecturers and above), if the reserved book is recalled, please return the book within 30 days.
  2. If the book is requested by another user after it has been checked out, the system will automatically initiate a recall operation and send a “Change in Due Date” notification.
    1. For borrowers with a standard loan period of 30 days (e.g., university staff and students), please return the item within 14 days.
      • If the original due date exceeds 14 days, it will be shortened to 14 days. Please return the item by the adjusted date.
      • If the original due date is within 14 days, it will remain unchanged, and renewals are not allowed.
    2. For borrowers with an extended loan period of 180 days (e.g., full-time lecturers and above), please return the item within 30 days.
      • If the original due date exceeds 30 days, it will be shortened to 30 days. Please return the item by the adjusted date.
      • If the original due date is within 30 days, it will remain unchanged, and renewals are not allowed.
  3. If a reservation is canceled, the system will automatically revert the due date to the original one. Readers are advised to keep track of their personal library accounts.


Library Notice

After a reader loans or reserves the materials, the library system will send various types of emails, such as "Upcoming Due Date Notice," "Due Date for Borrowed Materials," "Overdue Notice," "Reserved Materials Ready for Pickup," and "Library Notice of Due Date Change," to remind or inform readers about renewing, returning, or picking up the library materials.

  1. Explanation of each type of notification email:
    1. Upcoming Due Date Notice: The mail will be sent automatically to the readers a week before the due date. Please remember to return the books or renew them.
    2. Due Date for Borrowed Materials: On the day the borrowed materials are due, the system will automatically send an email listing the materials that are due on that day, reminding readers to renew online or return the materials on time.
    3. Overdue Notice: If the reader's borrowed materials become overdue, the system will send an email listing the overdue materials, urging the reader to return the materials promptly.
    4. Reserved Materials Ready for Pickup: After the reserved items are returned, the system will notify the reservation holder via email to pick up the items within 5 days.
    5. Library Notice of Due Date Change: During the loaning period, if a reserved item has been borrowed by another reader, the system will send an email to the current borrower, reminding them of the revised due date. The reader is advised to return the item on or before the new due date.
  2. The E-mails will be sent to the reader’s school mailbox. If there is a need to change the email address, readers should modify their personal information through their SSO account.

P.S.: "Email notifications" are provided as a service by the library, but readers should still keep track of their borrowing due dates and regularly check their borrowing status to safeguard their borrowing privileges.


Returns and Fines

  1. Loan Period: The loan period for library materials varies based on the reader's status, ranging from 180 days to 14 days (please refer to the table above). Saturdays, Sundays, and holidays are included in the calculation. If the return date falls on a non-working day, it will be extended to the next working day.
  2. Due Date Indication: The due date is displayed as "YYYY/MM/DD" in the library catalog.
  3. All library materials must be returned within the stipulated period of time. Patrons with overdue materials will be revoked of all library privileges, including renewals, reservations, borrowing of any equipment and so on.To access the library’s services again, the overdue items must be returned to the Circulation Desk on the 3rd floor of the library.
  4. Overdue Fines Calculation for Library Materials:
    1. Library materials are counted on a daily basis. For periods less than 24 hours, it will still be counted as 1 day. The overdue fine for each book is 5 NT dollars per day, with an accumulated calculation.
    2. Short term loans on course reserves are counted per hour. For periods less than 60 minutes, it will still be considered as 1 hour. The overdue fine for each material is 5 NT dollars per day, with an accumulated calculation.
    3. Holidays and closing days are not included in fine accumulations.
  5. The library’s system will automatically send a notification to each patrons’ email only as a service reminder. Patrons are not to use this as an excuse for any late returns and/or requests for fine deductions.
    • If the overdue fine reaches 150 NT dollars or more, the loaning, renewal, and reservation of library materials, spaces, and resources. To continue using library services, readers must go to the circulation counter on the 3rd floor of the library and pay the overdue fines to reduce the amount to below 150 NT dollars.


Declare Returns

If a reader has returned a book but it still appears in their personal borrowing record, please immediately report the situation to the library through the following methods:

  1. Send relevant information and explanation to the Library Service Email: cirlib@mail.nsysu.edu.tw
  2. Ask the staff at 3rd floor circulation desk
  3. Contact the 3rd-floor service counter of the library at 07-5252000 ext. 2426/2427. Provide your student ID or ID number, name, and book title, and the staff will immediately check and handle the issue.

The library will record the reader's claim in the "Declare Returned" form. The staff will proceed with the renewal and search for the book on behalf of the reader to avoid accumulating fines. The reader will be notified of the follow-up progress and result through email.


Penalty for losing or damaging loaned materials

If a reader accidentally loses or damages a loaned book, they are required to compensate either by purchasing a replacement book or providing monetary compensation.

  1. Purchase of Replacement Book: The reader should purchase a brand-new copy of the same edition, version, or the latest edition of the lost or damaged book.
  2. Monetary Compensation: The reader must pay the original price of the book plus a 100 NT dollar book processing fee. If the original price of the book cannot be determined, the library may calculate the compensation based on the number of pages in the book. For Chinese books, the compensation rate is 5 NT dollars per page, and for Western books, it is 20 NT dollars per page. If the book has less than 100 pages, the compensation will be based on 100 pages.

If the borrower is willing to pay in cash but the original price cannot be tracked. Library will ask the borrower to pay according to the pages of the item; for example, 5NTD per page for Chinese items; 20NTD per page for English items; books within 100 pages will be counted as 100 pages. If the lost item is part of a set of books and the library is not able to purchase the original version of the set of books, the borrower should pay the price of the set of books instead of just paying for the lost one. The borrower cannot own the rest of the set of books even though the price of the set of books has been paid.


Journals

  1. Non-circulating: All journals are only limited to on-site reading only..
  2. Location:
    1. This year’s issues (current issues): 5th floor
    2. Previous issues: Distributed across the floors according to their subject and topic. Please look it up in our system for easier access.


Library Space and Equipment Borrowing:

Study room:

   (1) Distribution and Quantity: There are 7 research rooms on the 4th floor and 14 research rooms on each of the 5th to 8th floors.

   (2) Borrowing Period:

    1. 14 days: 7-8th floor research room.
    2. Loan and return on the same day: research room on the 4th to 6th floor.

Discussion Room:

   (1) Small Discussion Room: There are 6 rooms, each accommodating about 2 to 6 people, located on the 1st, 6th, and 7th floors.

   (2) Large Discussion Rooms: There are 4 rooms, each accommodating about 5 to 12 people, located on the 4th and 8th floors.

   (3) All discussion rooms are equipped with projection facilities.

Lockers:

On the west side of the entrance on the 3rd floor, there are open wooden lockers and lockable lockers for readers to store personal items. However, the library is not responsible for the safekeeping of these items.

   (1) Open Wooden Lockers: Provided for temporarily storing personal belongings.

   (2) Lockable Lockers: Available for application and rental by the university's faculty, staff, and students for storing personal items. Detailed application procedures and dates will be announced before the start of each semester.
